Office Manager

On behalf of our client, a group of companies that specialize in maritime, industrial and satellite communication services, oil and gas/ renewable energy pursuits, we are looking for an Office Manager to be based at their offices in Limassol, Cyprus.

Main Duties and Responsibilities

  • Supports and acts as the assistant of the Managing Director
  • Schedules meetings and appointments
  • Provides general support to visitors
  • Assists in the onboarding process for new hires
  • Liaises with facility management vendors, including cleaning services. etc
  • Partners with HR to update and maintain office policies as necessary
  • Organizes the office layout and orders stationery and equipment
  • Maintains the office condition and arranges necessary repairs
  • Organizes office operations and procedures
  • Maintains and updates companies’ material (printed and digital) website and social media accounts with content such as new services, principals, participation at exhibitions and press releases
  • Prepares required material and briefs to order any job from third parties.
  • Conducts yearly strategy meeting/event of all offices 
  • Assists in all official seminars and presentations
  • Prompts and sources new leads for sales teams
  • Collaborates with other members of the group and assist whenever needed
  • Coordinates and follows up the reporting of all companies on a weekly basis
  • Monitors customers’ contracts in terms of validity, number of vessels, prices, cost etc
  • Identifies trading opportunities and negotiates with suppliers and customers
  • Builds strong relationships with customers. 
  • Searches for new business opportunities in maritime e-publications and industry-printed literature
  • Establishes and develops a new business opportunity with potential customers
  • Follows up the existing Pricing system
  • Keeps the portfolio updated and relevant
  • Visits exhibitions or principals, locally or internationally, to gain information on new products and emerging markets whenever is needed
  • Facilitates the Quality Manager for the most efficient implementation of the ISO 9001:2015 system 
  • Controls external communication regarding the performance of the company and the quality system

Job Requirements

  • University Degree in Business Management will be considered an advantage
  • Minimum 5 years of experience in a similar position 
  • Excellent command of Greek and English language 
  • Self-sufficient
