Office & Operations Administrator

On behalf of our client, an established group of companies in real estate advisory and asset management, we are looking for an Office & Operations Administrator to be based at their offices in Nicosia, Cyprus.

Main Duties and Responsibilities:

  • Manages daily office activities to ensure smooth operations, policy compliance, and an
    organized work environment
  • Manages office expenditures and handles all office-related contracts, such as rent and service agreements
  • Orders and manages office supplies while maintaining accurate records and documentation
  • Acts as the first point of contact for property owners interested in our management services, providing information and addressing inquiries
  • Responds to incoming calls, emails, and inquiries, directing them appropriately or providing the necessary information
  • Maintains and updates a database of potential and existing clients, ensuring accurate records
  • Builds and maintains relationships with prospective clients through professional communication and follow-ups
  • Assists in preparing proposals, presentations, and service agreements for new clients
  • Manages daily office operations, including ordering supplies, handling office equipment, and managing service contracts
  • Organizes travel, transport, and accommodation arrangements for the management team,
    ensuring seamless logistics and support
  • Prepares meeting rooms, organizes events, and coordinates conferences or internal
    appointments
  • Provides general administrative support, including monitoring deadlines and commitments and proactively addressing tasks and challenges as they arise
  • Provides administrative support for employee-related processes, including maintaining
    records, updating databases, preparing relevant documentation, and assisting with general
    HR activities as needed
  • Undertakes ad hoc tasks and projects as assigned by the management team, ensuring timely and high-quality completion

Job Requirements:

  • A degree in Secretarial Studies, Business Administration, or a related field
  • At least 2 years of experience in an administrative role
  • Excellent command of the Greek and English languages, both verbal and written. 
  • Proficiency in MS Office
  • Strong organizational, multitasking, and time-management skills
  • Strong interpersonal and communications skills
  • Strong sense of accountability, taking ownership over tasks and resolving issues in a proactive manner
