Vessel Operations Coordinator

On behalf of our client, a leading shipping company, we are looking for a Vessel Operations Coordinator to based at their offices in Limassol, Cyprus.

Main Duties & Responsibilities:

  • Communicates directly with the vessel operators and/or Masters of all vessels, informing of all relevant pre-arrival requirements for upcoming calls at ports, terminals and anchorage locations
  • Receives, reviews, and declares all relevant pre-arrivals documents and certificates; liaises with Master in case of missing information and/or documents
  • Liaises with and regularly informs all relevant authorities regarding upcoming vessel calls, attending port meetings (if required) and ensuring timely berthing for all vessels
  • Prepares inward & outward manifests for review and submits same
  • Books stevedoring gangs, quayside labour and equipment required for loading/discharging operations
  • Collects, reviews, and submits all relevant documentation to port/terminal authorities regarding the issuance of entry permits for Company and supplier personnel and equipment
  • Attends promptly to all needs and requirements of the client, vessel operator and/or manager and/or Master/Chief Engineer, ensuring all procurement requests are handled efficiently in collaboration with the Team
  • Supports all crew and vessel attendance-related matters (flight and hotel bookings, crew change documentation, medical appointments etc)
  • As required, attends loading and discharging operations at port facilities, ensuring that all relevant operational checks are completed prior to, during, and upon completion of operations
  • Regularly updates all parties -as required- on progress of vessel operations, and issues the vessel call’s Statement of Facts
  • Updates the Team on all billable activities and materials/consumables which are rechargeable to clients, and provides input on relevant invoices

Job Requirements:

  • University degree(s) related to Shipping Industry
  • Experience in a similar role in Shipping, Vessel Operations, Agency
  • A good knowledge of vessel operations coordination processes/port processes 
  • Fluency in English and Greek, both written and spoken
  • Organised and able to work independently (under supervision) and under pressure
  • A team player
  • Strong sense of responsibility, confidentiality and adaptability
  • Professional conduct and presentation
