PA to the Managing Director

Uniteam Marine is an international ship management organization that provides industry-leading services to ship owners and ship managers across a wide range of countries and jurisdictions.

With immediate effect, we are looking for a PA to the Managing Director to be based at our offices in Limassol, Cyprus.

Main Duties and Responsibilities

  • Supports the Managing Director in the performance of his responsibilities in a timely and efficient manner. 
  • Coordinates incoming and outgoing communications and documentation, including distribution as appropriate.
  • Obtains background information and prepares standard replies on behalf of the Managing Director.
  • Screens appropriately and professionally telephone calls, enquiries, and requests answering routine questions and transferring messages to the Managing Director as required.
  • Organizes and maintains a diary for the Managing Director, arranging/ accepting meetings/ conference calls and making necessary arrangements (e.g. sending meeting invitations, setting up of meeting venue, ordering catering, luncheons, etc.).
  • Assessing the priority of meetings and rearrangement as necessary. 
  • Organizes and oversees the execution of the traveling arrangements for the Managing Director’s overseas travel (e.g. flight reservations, accommodation arrangements, visas etc.).
  • Coordinates and provides input for the preparation of agendas and supporting documentation for Board meetings, meetings of the Managing Director, and other meetings, as per the Managing Director’s instructions; Notes action points and following them up.
  • Takes notes and provides general assistance at meetings and prepares minutes of meetings; Notes action points and follows them up.
  • Liaises with management and staff on behalf of the Managing Director and as per his direction.
  • Carries out background research on areas required by the Managing Director and presents relevant findings and information gathered.
  • Assists the Managing Director in the drafting and execution of new management agreements and addenda.
  • Enrolment of vessels with ITF and renewal of ITF.
  • Undertakes general word processing and Excel work and produces documents, briefing papers, reports, PowerPoint point and other forms of presentations as required.
  • Maintains office systems, including data management, filing and document tracking and circulation.
  • Maintains the Managing Director’s office and ensures that all office equipment and facilities are in good working condition.
  • Maintains strict confidentiality both internally and externally.
  • Performs other related duties as assigned by the Managing Director

Job Requirements 

  • A diploma/degree in the area of office administration, secretarial studies or related field
  • At least 5 years solid experience in a similar position
  • Strong computer skills (MS Word, Excel, PowerPoint, Outlook)
  • Excellent command of the English language
  • Knowledge of Greek is considered an advantage
