With immediate effect, we are looking for a QSE Superintendent to be based at our office in Limassol, Cyprus.

Main Duties and Responsibilities 

  • Responsible for the follow-up of applicable reports and deficiencies for assigned vessels
  • Manages the audit program of the QSE System
  • Performs internal audits on board and within the office as assigned by the Lead Auditor
  • Responsible for the follow-up of crew complaints, as well as for the required auditing and certification of assigned ships
  • Ensures the safe operation of assigned ships by monitoring the safety and pollution prevention aspects of the operation of each managed vessel, in cooperation with the Technical Managers
  • Analyses applicable working practices, reports, deficiencies and non- conformities; introduces and monitors corrective measures in co-operation with the Management, Department Heads and ship’s command
  • Investigates accidents, incidents, and near misses, formulates effective corrective and preventive action, and ensures lessons learned are disseminated throughout the relevant parts of the Company
  • Develops Quality, Safety, and Environmental systems, policies, and procedures
  • Advises the level of threats likely to be encountered by the ship, using appropriate security assessments and other relevant information
  • Ensures that a ship security assessment is carried out for each of the ships under the Company’s QSE Management as per the flag administration regulations
  • Coordinates the preparation, approval, distribution, implementation, and continued effectiveness of the Ship Security Plan in order to obtain the required International Ship Security Certificate
  • Ensures that the Ship Security Plan is modified, as appropriate, to correct deficiencies and satisfy the security requirements of the individual ship
  • Ensures that deficiencies and non-conformities identified during internal audits, periodic reviews, security inspections, and verifications of compliance are promptly addressed and dealt with

Required Qualifications

  • University degree or similar qualification in Business Management / Shipping or related fields
  • 2 years of experience in a similar position or 5 years of experience as a senior officer onboard
  • Knowledge of the applicable codes, guidelines, and standards
  • Qualifications from a tertiary institution recognized by the Administration or by the recognized  organization, within a relevant field of management, engineering or physical science, or 
  • Qualifications and seagoing experience as a certified ship officer pursuant to the International Convention on Standards of Training, Certification, and Watchkeeping for Seafarers (STCW), 1978, as amended, or 
  • Other formal education combined with not less than three years of practical senior-level experience in ship management operations
  • Certified Internal Auditor for applicable standards. (e.g. ISO 9001, ISO 14001 ISM, etc.)
  • Certified Company Security Officer Training, with a company approved by the Flag Administrations.
  • Excellent command of spoken and written English. 
  • Excellent communication and teamworking skills
  • Computer proficiency in word processing, spreadsheets, presentations, communication (e.g. Microsoft Word, Excel, PowerPoint, Outlook), and SharePoint
  • The position requires a significant amount of international travel

Procurement Officer

Procurement Officer

On behalf of our Client, a leading shipowner, and ship management company, we are looking for a Procurement Officer for their offices in Limassol, Cyprus.

Main Duties and Responsibilities

  • Renders procurement services to the fleet team in which the procurement officer is embedded. Close cooperation with the superintendents.
  • Responsible to process the procurement requisitions from the vessels, taking into account the procurement policy of the company and superintendents’ advice.
  • Continuously strives to optimize the procurement processes in order to come to the best price/quality ratio of goods/services purchased.
  • Contributes to the annual vessel budget and assists to reduce the administrative costs involved in ordering the goods/services.
  • Collaborates with the logistics team to ensure shipment of spares, stores and consumables in a timely manner.
  • Within the given authority levels, checks and approves invoices and settles claims/ disputes with suppliers.
  • Supports reporting for Third Party Owners.
  • Rates suppliers basis price/performance criteria.

Job Requirements

  • Previous experience as a procurement officer in the shipping industry is necessary 
  • Sound understanding of procurement and logistics processes

Junior Travel Operator

With immediate effect, we are looking for a Junior Travel Operator to be based at our office in Limassol, Cyprus.

Main Duties and Responsibilities

  • Investigate available flight connections as requested by the Fleet Personnel Function and Company managerial team 
  • Book flights and deposit tickets as requested
  • Cancel unused bookings and ensure that the ticket refund process is followed accordingly
  • Verify received invoices and credit notes, clarify all detected irregularities and forward approved documents to Finance for the execution of respective payments
  • Update the crewing program with all details related to the travel request/invoicing – Using COMPAS & Panasoft travel force.
  • Travel-related communication with external parties. 
  • Commits to working in an AOH rota has specified by the Administration Manager – Travel.
  • Monitor and record developments/trends in the air travel industry.

Job Requirements

  • Experience with ticketing systems (eg. IATA) will be considered an advantage

PMS Officer

PMS Officer

Main Duties and Responsibilities 

  • Generates templates for each type of ship joining the Company’s Technical Management for initial setup onboard.
  • Ensures that both ShipManager and SAP software are linked.
  • In charge of implementation and customization of the reports, targets and KPIs through the ShipManager Analyzer.
  • Follows up on issues with Hardware and Software onboard the vessels, implementation of hardware change/maintenance policy for smooth system running in close cooperation with IT Service Line.
  • Responsible for the training/briefings of the Crew (face to face onboard or remotely) and set up process/system for remote Training of the crew with live sessions whilst the vessel is trading.
  • Creates new Training material for Office and Vessel users due to system updates.
  • Enhances crew awareness about ShipManager capabilities system usage, and lessons learnt.
  • Creates/Standardizes working process/workflow of user actions for office Users in PMS, Procurement, Budget Control, and Certificate Modules.
  • Updates system with Flag specific requirements/jobs/regulations.
  • Updates/Adjusts created ShipManager Reporting Forms.
  • Keeps up to date the Certificate Module to the latest rules/regulations.
  • Accountable for the ShipManager PMS Module update/expansion to a more efficient and user-friendly setup for existing vessels.
  • Responsible for updates/corrections of ShipManager PMS to existing vessels.
  • Implements new ShipManager tools/functions i.e. Defect Reporting, warehouse delivery, budget module, stock control module, consumption module etc. for office/vessel users.
  • Maintains/updates currency exchanges in ShipManager Procurement Module.
  • Enhances/improves/follows the initial system setup (vessel data updates) of ShipManager PMS effective implementation onboard vessels.
  • Follows up on the current pending creation of Databases for newly acquired vessels.
  • Follows up on any additional projects for implementation and support.

Job Requirements 

  • Maritime or Engineering studies or other equivalent studies
  • Organized, thorough, and with great attention to detail.

On behalf of Azimuth Radio Technologies, we are looking for a Purchasing Administrator to be based at our office in Limassol, Cyprus.

Main Duties and Responsibilities

  • Responsible for invoice/purchase order reconciliation.
  • Responsible for scanning, electronic data recording and emailing
  • Collects and validates enquiries or requisitions for services and/or spare parts received from clients to the office daily and obtains any additional information necessary in a timely and reliable manner.
  • Issues requests for quotations to subcontractors (with or without fleet agreements).
  • Processes all quotations using the procurement information system and prepares a procurement case overview, thus, enabling Manager to select the most compliant.
  • Collects competitive amount of offers, renegotiates the offers, supports the Manager in the selection process and sends purchase orders to the selected supplier(s).
  • Co-ordinates all ordered deliveries of services, and ships’ spares, to ensure on-time dispatch to the correct destination in the most cost-efficient and effective manner.
  • Informs clients and suppliers of delivery details, and any additional arrangements.
  • Coordinates and follows up on all logistics and tax matters relevant to supplies and is a sound counterpart to logistic partners, e.g., shippers and forwarding agents.
  • Resolves any discrepancies advised by the client or Manager with the supplier. For example, in case the ordered services and/or spare parts are rejected, arrangements are made for prompt landing and return for replacement/refund.
  • Maintains and monitors the filing system and database for each procurement case as per company standards.
  • Validates and processes invoices against respective orders and forwards them to the Outsourcing Competency for payment.
  • Maintains supplier performance records.
  • Other duties as assigned, e.g., invitation and preparation of tenders/fleet scope, project tenders for retrofits, handling of guarantee claims and suppliers.

Job Requirements 

  • University degree in Maritime studies or other equivalent studies.
  • Min. 2 years of relevant experience and seagoing experience is preferred.
  • Excellent command of the English language
  • Computer proficiency in word processing, spreadsheets, communication (e.g. Microsoft Word, Excel, Outlook)
